What Is a Membership and Loyalty System?
What is a membership and loyalty system?
A membership system is the tool that records and runs a shop's membership programme. It can connect registration, stored value, points and vouchers with checkout. Giving someone a card is only an identifier; the rules and records behind it determine the experience.
Four everyday functions
Registration: identify a member through a supported code or other suitable identifier, explain benefits and collect only information needed for the programme.
Stored value: record a top-up and reduce the balance when eligible purchases are made. Distinguish paid funds from any promotional credit and explain refund arrangements.
Points: calculate rewards according to clear earning and redemption rules. Customers should know their balance, expiry and restrictions.
Vouchers: issue a defined benefit with understandable eligibility, validity and exclusions. Staff need a consistent way to recognise and redeem it.
Connect the programme with checkout
A connected process can reduce repeated entry: staff recognise the member, apply eligible benefits and record the purchase together. Demonstrate a normal purchase, a return, a partial refund and a manual adjustment. Decide who can override a balance or benefit and retain a reason for doing so.
For more than one shop, confirm whether member records and benefits are shared. A customer should not have to discover an unexpected branch restriction at payment.
Design benefits the shop can sustain
Points, vouchers and stored value are related but different. Check the combined cost when offers can be used together. Make expiry and exclusions visible before a customer joins or pays. Prepaid funds create an obligation to provide future goods or services, so plan redemption capacity and refunds.
Protect the member record
Explain the purpose of collection, restrict staff access and review how long information is needed. Decide how customers can ask questions about their records. Check promotional contact requirements and preferences separately; membership is not blanket permission for every future campaign.
Ask the provider about storage, security, backup and export arrangements. Software can help organise the process, but programme design and customer-data responsibilities still need attention.
Choose an appropriate service
Posify uses a cloud software subscription rather than a perpetual licence. Confirm the member functions and configuration included in your plan, together with equipment, setup, training and support. Test whether the interface is practical for staff during a queue.
Posify does not provide offline checkout. Prepare a reliable primary network and tested 4G/5G backup, and agree on what to do when all connectivity is lost. After reconnecting, confirm uncertain transactions before repeating a deduction.
Frequently asked questions
Is membership the same as stored value?
No. A membership programme can use points or benefits without accepting prepaid funds.
How does it relate to CRM?
Membership is one practical part of customer relationship management. CRM can also cover analysis, service and follow-up.
Where should a small shop start?
Start with a useful benefit, clear rules and accurate checkout records. Add tiers or campaigns after staff can run the basics reliably.
