1. MANAGE STOCK TRANSFER TYPE 

When request stock transfer to / from other locations, employees need to select a type as the reason for this request. 

 

1. Login CMS, go to Inventory > Setting, click Manage Stock Transfer Type section page.

2. Click Add to add a new stock transfer type, input the type name and click Save. 

3. You may click to edit the name of a stock transfer type. Click to delete a stock transfer type. 

Once you changed the stock transfer type, you need to relogin POS to see the changes. 

 

2. MANAGE STOCK OUT TYPE 

Please notice the stock out type here is special for the stock out to a location out of your company. If you want to stock out to other locations (stores or warehouses) within your company, please refer to Request stock transfer to other locations. 

1. Login CMS, go to Inventory > Setting, click Manage Stock Out Type section page. 

2. Click Add to add a new stock out type, input the type name and click Save. 

3. You may click to edit the name of a stock out type. Click to delete a stock out type. 

 

3. MANAGE STOCK TAKE DISCREPANCY TYPE 

If there’s discrepancy when doing stock take, the employee must select a discrepancy type.

1. Login CMS, go to Inventory > Setting, click Manage Discrepancy Type section page. 

 

2. Click Add to add a new discrepancy type, input the type name and turn on the Associate Actions (means how to handle the discrepancy), 

Stock Out - Stock out to a location out of your company, eg., you found there’s expired juice and want to deliver them to a recycle factory, then please turn it on.

  • Stock Transfer - Stock transfer to a location within your company, eg., you found there’s some damaged products and want to transfer to your warehouse, then please turn it on. 

  • Dispose Now - Eg. you found there’s expired juice and want to throw them away immediately, then please turn it on. 

  • Confirm Only - Just confirm the discrepancy, no follow-up actions.

3. You may click to edit the details of a discrepancy type. Click to delete a discrepancy type. 

 
 

 

4. REQUEST STOCK TRANSFER TO OTHER LOCATIONS 

1. Login POS, go to Inventory > Stock Out, click to create a Stock Transfer to other locations. 

2. In Destination Warehouse dropdown list, select the location you want to transfer to. For permission control on stock transfer locations, please refer to Manage Permission for POS. 

3. You may either scan the QR code / barcode on the products, or click to search products and add them into the Stock Transfer list. 

4. After adding products into Stock Transfer list, you need to input transfer Qty., under Reason select an appropriate stock transfer type, input Remarks if needed. 

5. Next you need to choose one action of this stock transfer form in the bottom bar, 

Create Delivery Note - Create a delivery note for this stock transfer only and there will be a stock out record with the status as “Pending out”. You need to click and manually confirm stock out. 

 

Create Delivery Note & Stock Out - Create a delivery note for this stock transfer and confirm stock out at the same time. 

Stock Out Now - Just confirm stock out without delivery note. 

6. After confirming stock out, the destination location will see a stock in record in their POS. Please refer to Stock in base on stock transfer / purchase order. 

 

 

5. REQUEST STOCK TRANSFER FROM OTHER LOCATIONS 

1. Login POS, go to Inventory > Stock In, click to create a Stock Transfer from other locations. 

2. In Source Warehouse dropdown list, select the location you want to transfer to. For permission control on stock transfer locations, please refer to Manage Permission for POS. 

3. You may either scan the QR code / barcode on the products, or click to search products and add them into the Stock Transfer list. 

4. After adding products into Stock Transfer list, you need to input transfer Qty., under Reason select an appropriate stock transfer type, input Remarks if needed. 

5. Next you need to choose one action of this stock transfer form in the bottom bar, 

Create Delivery Note - Create a delivery note for this stock transfer and there will be a stock in record with the status as “Pending in”. 

6. Once the Source Warehouse complete stock out, then you can go to POS Inventory > Stock in, click and confirm stock in. 

 

6. CANCEL STOCK TRANSFER 

1. If you want to cancel Stock Transfer, then you need to login CMS, go to Inventory > Stock Transfer, find the record and click . 

 

7. STOCK OUT-STOCK OUT TO A LOCATION OUT OF YOUR COMPANY 

1. Login POS, go to Inventory > Stock Out, click to create a Stock Out. Notice there’s no destination location. 

 

 

2. You may either scan the QR code / barcode on the products, or click to search products and add them into the Stock Out list. 

3. After adding products into Stock Out list, you need to input stock out Qty., under Reason select an appropriate stock out type, input Remarks if needed. 

4. Click Confirm & Stock Out to complete. 

5. If you are using a barcode scanner to do stock out, then there are 2 ways to count the inventory. 

  • Once you scan the barcode, it shows the actual inventory Qty. equal with current inventory Qty., eg. Product A, Curr. Qty. 120, Actual Qty. 120. Then you count Product A manually, and adjust actual inventory Qty. if needed.

  • Once you scan the barcode, the actual inventory Qty. starting from 1. It will be accumulated everytime you scan the product barcode. 

To switch between these 2 ways, please go to POS Settings > General > Stock In/Out actual quantity start from 0. 

 

8. STOCK IN-STOCK IN BASE ON STOCK TRANSFER / PURCHASE ORDER 

1. Login POS, go to Inventory > Stock In, you may click to show or hide some columns. 

2. For those Pending In records, click to view the details. 

3. Input actual stock in Qty., then click Confirm to finish stock in. 

4. If there’s difference between stock out and stock in Qty., you may use Advanced Report to generate a report of all these outstanding records. 

5. If you are using a barcode scanner to do stock in, then there are 2 ways to count the inventory. 

  • Once you scan the barcode, it shows the actual inventory Qty. equal with current inventory Qty., eg. Product A, Curr. Qty. 120, Actual Qty. 120. Then you count Product A manually, and adjust actual inventory Qty. if needed 

  • Once you scan the barcode, the actual inventory Qty. starting from 1. It will be accumulated everytime you scan the product barcode. 

To switch between these 2 ways, please go to POS Settings > General > Stock In/Out actual quantity start from 0.  

 

9. STOCK TAKE 

1. Login POS, go to Inventory > Stock Take, click Add to add a new stock take record.  

2. You may either scan the QR code / barcode on the products, or click to search products and add them into the Stock Take list. 

3. If you are using barcode scanner to do stock take, then there are 2 ways to count the inventory. 

  • Once you scan the barcode, it shows the actual inventory Qty. equal with current inventory Qty., eg. Product A, Curr. Qty. 120, Actual Qty. 120. Then you count Product A manually, and adjust actual inventory Qty. if needed. 

  • Once you scan the barcode, the actual inventory Qty. starting from 1. It will be accumulated everytime you scan the product barcode. 

To switch between these 2 ways, please go to POS Settings > General > Stock take actual quantity start from 0. 

4. If there’s discrepancy, then you must select a discrepancy type, and input Remarks if needed. 

5. Once complete stock take, click Process. For those product with no discrepancy, click Confirm Only. 

6. Now you need to choose associate actions of how to handle the discrepancies by each Type. You could refer to Manage stock take discrepancy type.  

6. After all discrepancies are handled, you can click  to see which products haven’t been done stock take yet. 

7. Once done, click  to back to stock take list. Swipe left of the Processing record, and you will see the Complete button, click it to finish the stock take process.  

 

10. REPLENISHMENT FROM DEFAULT WAREHOUSE 

1. Login POS, go to Inventory > Replenishment. 

2. Click Add to search product and add to replenishment list. 

3. Input replenishment Qty., input Remarks if needed, then click Confirm. 

4. System will generate a stock transfer from default warehouse to your location. Once the warehouse staff complete stock out, then you can process stock in under POS Inventory > Stock In. 

5. If you set a replenishment level for products, then the triggered products will be shown here in the Replenishment list automatically. 

6. You can check the source quantity and current quantity.

Stock out

Replenishment from default warehouse

1. Login POS, go to Inventory > Replenishment.

2. Click Add to search product and add to replenishment list.

3. Input replenishment Qty., input Remarks if needed, then click Confirm.

4. System will generate a stock transfer from default warehouse to your location. Once the warehouse staff complete stock out, then you can process stock in under POS Inventory > Stock In.

5. If you set a replenishment level for products, then the triggered products will be shown here in the Replenishment list automatically.

6. You can check the source quantity and current quantity.
